How to Move an Office Without Losing a Day of Work

Run the numbers on your own office move and the moving invoice is rarely the biggest line. If you have thirty people who can't work for a day and a half, that's the expensive part. Everything below is aimed at that number, not the other one.

Start eight weeks out with two floor plans

You need a labeled plan of the space you're leaving and a labeled plan of the space you're entering, with every desk, cabinet, and printer given the same identifier on both. Every item gets a colored label matching its destination. A crew that can read the label doesn't need to ask, and a crew that isn't asking is moving.

This one step does more to compress an office move than anything else on this list.

IT goes first and comes back first

Order of operations that works:

  1. Internet circuit at the new space provisioned and tested at least two weeks before the move. Carrier install dates slip constantly in RTP and downtown Durham — build in slack.
  2. Network gear, switches, and the server rack move Friday afternoon and get racked and powered Friday night.
  3. Everything else moves Saturday.
  4. Sunday is for exceptions and testing, not for moving.

If IT comes off the truck at the same time as the furniture, nobody can test anything until the furniture is placed, and you've serialized two jobs that should have run in parallel.

Handle the building requirements early

Most Triangle office buildings — especially in RTP, downtown Raleigh, and American Tobacco — require:

Get these in writing from both buildings six weeks out. A COI rejected on move morning stops the job cold.

Files, and the conversation nobody wants

If you're in healthcare, law, or financial services, the files on that truck are regulated. That means sealed, sequentially numbered containers, a documented chain of custody, and a mover who understands what a HIPAA or client-confidentiality obligation actually requires. Ask about it directly and get the answer before you book.

It's also the single best time to purge. Moving records you're legally allowed to destroy is paying to relocate a liability.

Employee packing kits

Two weeks out, every employee gets: a crate, labels, and a one-page instruction sheet with their destination code. Personal items, desk contents, and anything they'd be upset to lose go in their own crate, which they label themselves. Nobody packs someone else's desk.

The Monday morning list

Have someone on site an hour early with a printed list: every workstation powered and on the network, phones tested, printers mapped, conference room displays working, and the coffee running. The coffee is not a joke — it's the first thing thirty people notice.
